One Format for Every Customer

A product can offer excellent features, but if the customer doesn’t understand how to use it correctly, their satisfaction and loyalty will quickly drop. A product video manual solves this problem by explaining each step visually and clearly – regardless of the user’s language, technical background or level of experience. In this article, we’ll walk you through a proven process for creating such a manual from scratch.

1. Start by analysing your customers and their needs

Who will be using the video?

  • A non-expert user – needs simple language, clear visuals and no technical jargon.
  • A service technician – will appreciate precise parameters, detailed close-ups and clear safety warnings.
  • A distributor or sales representative – wants a tool that quickly and convincingly explains the product to customers.

Tip: Use feedback from your customer support team – identify the most frequent questions and problems, and make sure the video answers them clearly.

2. Create a script divided into clear, logical chapters

A structure that works well:

  • Introduction – presenting the product and the purpose of the manual.
  • Preparation – tools, parts and safety measures.
  • Step-by-step procedure – each step no longer than about 90 seconds.
  • Check and test – how to verify that everything has been done correctly.
  • Maintenance tips – how to extend the product’s lifespan.

Tip: Plan each chapter as a separate “mini story” – it makes the editing process easier and future updates much simpler.

3. Film demonstrations that leave nothing to guesswork

Key principles for the visuals:

  • Close-up shots of hands and parts – the customer needs to see every detail clearly.
  • On-screen highlights – arrows, circles, icons and values (e.g. Nm, mm) to draw attention to what matters.
  • Showing common mistakes and how to fix them – don’t just show the ideal procedure, show what can go wrong and how to correct it.

4. Plan for multilingual use from the start

To reach an international audience, it pays to think about languages from the very beginning. Use subtitles as the foundation – they are easier and more cost-effective to update than re-recording audio. For key markets, consider adding voice-over to make the manual as comfortable as possible for local users. And make sure terminology is consistent across the video, the written documentation and the product itself, so customers always see the same clear, familiar wording.

5. Test the video with real users

Before you publish, test the video with the people it is actually meant for – new employees, customers or service technicians. Ask them to follow the video without any extra help and watch where they hesitate, rewind or ask questions. Their feedback will reveal unclear steps, missing information or confusing terminology. On this basis, you can fine-tune the script, visuals or subtitles so that the final version really works in practice, not just on paper.

6. Deliver the video manual to your customer

A great video manual only creates value if customers can actually find and use it. Make access as simple as possible: add a QR code to the packaging, product label or printed manual that links directly to the video, and include the link in order confirmation emails or on your support pages. For internal use, you can embed the video in your LMS or intranet so that employees always know where to find it. Ideally, the customer should be able to open the video within a few seconds – without searching, logging in or downloading extra files.

A well-crafted product video manual is an investment that comes back in the form of happier customers, fewer errors and lower service costs.
